Purpose of the job
To ensure a high quality of service to internal users in their day to day work: Cleaning service, Office settings, Office Material, Warehousing and deliveries. Guarantee that the internal procedures are implemented and followed by the users. Liaise with other internal divisions to provide assistance in his area of responsibility: office setting, warehousing, deliveries, quality and quantity check at reception.
Main activities and responsibilities
• Overview on the daily deliveries, quality and quantity check at reception. Allocation of a storage, organisation of inventories & Warehousing space, overview on the stocks, Update of received or dispatched Quantities in the relevant systems.
• Participates in checking and monitoring partners responsible for various maintenance and technical works, in accordance with the policy established and service level contracted.
• Managing the office space at both floors, i.e. day-to-day contacts with Landlord, Building Management and Building Security, reorganization and rearrangements of office space according to current needs, visual marking. Participates in checking and monitoring partners responsible for various maintenance and technical works, in accordance with the policy established and service level contracted.
• Being in charge of the access control system, following all the safety procedures and evacuation plans; Prepare Newcomer’s seating space in coordination with IT.
• Assure efficient working of, printers, photocopiers, plotters, shredders and other services. Office equipment administration (replacement of toner cartridges, refill paper, minor interventions) together with cleaning ®ular; check up.
• Daily manage the Fleet of the Pool Car, ensure the process is followed, Maintains vehicles and in charge of some related administration (damage reporting, tires replacing, fuel cards, etc…)
• Collaboration with all-rounders will be requested in transport, Warehousing, Delivery Tasks. Collaboration with receptionists will be requested for the Pool Car Management, Pool Items Management and other office related issues ( running of the office, Meeting Rooms)
• Participates in the implementation of the administrative procedures within EURO 2012. Ensures that documented standards for routine procedures are in place, participating in writing manuals, concepts, procedures, etc…
Education
• University degree
• Further experience in logistics/purchasing
Work Experience
• Event experience
• Experience in logistics within (international) sport events a strong plus
Business know-how and IT Skills
• Computer-literate: Word, PowerPoint, Excel, Outlook
• Excellent communication skills – oral and written
• Strong organisational skills
• knowledge in project management
• Strong negotiation skills
Language skills
• English: fluent oral and written
