Description

PURPOSE OF THE JOB:
Provide efficient and appropriate secretarial support to the head of the EURO Planning, Ticketing and Admission Services Unit, and handle the division’s administrative work.

MAIN ACTIVITIES:
• Establishes procedures for archiving, reception services and correspondence in the division
• Deals with inbound and outbound communications (information, mail, phone calls, letters, faxes, etc)
• Organises the travel arrangements of the head of the division
• Prepares and organises division meetings and produces any necessary minutes/reports of meetings
• Assists divisional colleagues and takes part in other projects as and when required by the head of the division
• Participates in UEFA EURO 2012 events on site as and when required
• Liaises with assistants of other divisions, where applicable, and attends regular information meetings with this group
• Produces documentsand presentations
• Organises small events
• Compiles Christmas card mailing list

MAIN RESPONSIBILITIES:
• Handles all the division’s administrative work
• Responsible for time management (clocking in and out, holiday balances, reports, etc.) within the division

EDUCATION:
• Good general education
• Degree in languages or in translation a plus

WORK EXPERIENCE:
• Experience in a similar position as a management assistant
• Experience in an event company
• Experience in an international and multicultural environment

BUSINESS KNOW-HOW & IT-SKILLS:
• Computer-literate: Word, PowerPoint, Excel, Outlook
• Excellent communication skills – spoken and written
• Ability to keep all documentation in order, define priorities, plan activities, manage his/her time effectively and handle information
